  • Perform secretarial and administrative duties for the Vice President, Individual Life Operations Division and provide administrative and logistic support to the division.
  • Assist with processing requests and completing assignments within the division, as required.
  • Reserve meeting rooms and order refreshments, as necessary, for meetings held by the Vice President and record meeting minutes/notes, as required.
  • Respond to queries received including those from Brokerage Houses.
  • Maintain electronic appointment diary for Vice President and handle any incoming and outgoing mail.
  • Establish and maintain a proper, up-to-date filing system.
  • Order stationery required for the functions performed.
  • Prepare shortage files and submit shortage emails to branches and brokerages.
  • Provide information re shortages to the Customer Service department, agents or vice presidents.
  • Prepare letters for life conversions of term policies on approval by the divisional vice president and submit copies from clients approving conversion for shortages to the Alterations unit.
  • Dispatch text messages daily, notifying clients, suppliers and providers of payments to their accounts as well as any specially required text messages.
  • Generate and dispatch any specially required letters; conduct analyses, as requested, and provide the relevant data.
  • Log and submit returned mails to the Records Management department.
  • Update the Ingenium system with data on bad addresses.
  • Perform changes to client scripts on the Documanage system.
  • Compile the Online Application System (OAS) report monthly and assist with the compilation of monthly/quarterly/annual divisional reports monthly.
  • Enter invoices in the designated Accounts Payable system to ensure the necessary deductions of the correct withholding tax, as required.
  • Co-ordinate the registration of administrative staff with the Financial Services Commission (FSC).
  • Perform any other duties assigned.
